Guide to Booking Government Venues in Hong Kong

STEP 1: Fill up the application form. Gather supporting documents.

Only the bride-to-be or groom-to-be can apply for this. With the accomplished form, include copies of identification documents of the couple. Note that in the date portion, this should be the intended date for the wedding ceremony. In the other relevant information, include details with regards to the officiator of the ceremony. It must be hosted by a civil celebrant.

STEP 2: Submit completed application 12 months before the intended wedding date.

For instance, booking application should reach the office concerned from May 1-31, 2016 if the wedding ceremony will be held on June 2017. If there is more than one application for the same venue and session, a ballot will determine which couple it will be allocated to. This process will be held openly on the 10th day or the following working day of next month. The applicants will be notified of the balloting result in writing by the office concerned within 7 working days.

STEP 3: Pay the fees within 7 working days. 

Successful applicants from the ballot will be notified. They are then given 7 working days as grace period to pay for the respective venue and session.

*STEP 4: If desired venue is already taken, opt to book from the available venues.

Applicants may also apply for the unbooked venues or sessions within the immediate 12 months on the last day of each month or the following working day of each month at the district office concerned. The application form should be submitted at least two months prior to the intended wedding day. (For instance, venue-booking application should reach the office concerned from March 1-31, 2016 if the wedding ceremony is to be held in June 2016).

*STEP 5: If there will be an extension of hours, contact respective office.

If applicant is finished booking and wants to extend the hours, contact respective office of the venue with the necessary details. Wait for confirmation on their end. When given the official receipt, pay accordingly.

*STEP 6: For rescheduling of the date for bad weather, contact respective office.

An application for alteration of the session and date in respect of a previously confirmed booking will be treated as cancellation of the booking. Any fees paid will be forfeited. However, there are special cases such as that of inclement weather. If stated by the Hong Kong Observatory and will result in the management closing the venue for safety and operational reasons, the hirers can apply for a refund or alteration of the date and session previously booked.

Completed application forms can be submitted in person, by post, or by fax to the respective District Leisure Service Office in which the ceremony will take place.

For those being mailed, please indicate “Booking Leisure Venues for Holding Wedding Ceremonies” on the envelope.
